Cancellation policy – therapy sessions
We understand that there may be times when cancelling a therapy session is necessary.
If you need to cancel the whole block of therapy, please email within a week of the first session and we will issue you a full refund. Alternatively we may be able to offer dates later in the year if available.
If the child/ young person is unwell or unable to attend a session, please email to let us know. Unfortunately we will not be able to refund this session, but we will send resources for the session missed.
If a child/ young person logs onto the session over 15 minutes late, they will not be admitted into the session. Unfortunately we will not be able to refund this session, but we will send resources for the session missed.
If the therapist needs to cancel the whole block of therapy, we will issue you a full refund or offer you dates later in the year if available.
If a therapist is unable to attend a session, we will attempt to find another therapist to cover the session or offer an alternative date. If this is not possible, we will send resources for the session missed and provide a partial refund amounting to the cost of the session.
If there are reasons for cancelling a session that are not described above, we will make a decision on a case-by-case basis and any refund will be provided at our discretion.
Cancellation policy – training sessions
If you need to cancel a training course, please email within a week and we will issue you a full refund. Alternatively, you are welcome to offer the training slot to another member of staff at your school, or we may be able to offer you dates later in the year if available.
If you have to cancel attendance at a training course with less than a week’s notice, please email to let us know. Unfortunately we will not be able to refund this session but as above, will accept another member of staff to access the session or offer alternative dates in the future if available.
If you log onto the session over 15 minutes late, you will not be admitted into the session. Unfortunately we will not be able to refund this session.

Expectations during a virtual session
Each ticket provides a place for one person. We have the right to terminate the session if a group of people log on. This is to ensure that those attending are able to receive individualised support and get the most out of the session.
Attendees are required to have a microphone to be able to contribute and a working camera that is kept on during the session. If for any reason you will not have access to a functioning microphone and camera, please contact us before the session.
The session must be accessed via a computer, laptop or iPad and not on a smartphone. This is because there will be resources presented that will not be clearly visible on a smartphone.
For children and young people under 16 years of age, an adult (such as a class teacher or learning support assistant) must be present in the group.
Confidentiality
Everyone in attendance is personally responsible for maintaining confidentiality. The therapy or training sessions may involve discussion and/or material of a confidential nature. Attendees must not discuss details of confidential information and case studies outside of the session.
Attendees must NOT:
- Record the session
- Record any video footage from the session
- Photograph any video footage from the session
Safeguarding
We follow both local and national child safeguarding policies and guidelines.

If a safeguarding concern arises during a session, we will take the appropriate action informed by the local safeguarding policy for the borough in which the child/ young person lives. We will also inform the Designated Safeguarding Lead in the child/ young person’s school.
Record keeping during therapy sessions
We keep electronic notes to record our observations of each child/young person’s progress during the sessions. These will be kept securely on our NHS drive during the course of the sessions to support our planning and differentiation of activities. We will provide a summary report of the child/young person’s progress within the group and once this has been distributed, all definable information related to the child/ young person will be destroyed.
The report will be sent to the school SENCo, who will be responsible for sharing the information with parents and any other professionals involved in the child/ young person’s care.
We adhere to strict guidelines for confidentiality, as set out by our professional body, the Royal College of Speech and Language Therapists (RCSLT).

Use of video
The video platforms we use are ‘Microsoft Teams’ and ‘Zoom’. ‘Zoom’ is not one of the platforms that our NHS Trust (Homerton University Hospital) formally approve, but we use it because it has fun and interactive features that are motivating and engaging within a group. We apply settings to make the call as secure as possible and do not use this platform without getting informed consent from parents.
Our staff
Our team consists of qualified Speech and Language Therapists who are registered with the regulating body, HCPC (Health and Care Professions Council).
All staff undertake enhanced DBS checks, with timely renewals.
Our team access regular training to ensure that their skills are kept up to date with current evidence-based practice.
Our staff also receive monthly clinical supervision, as set out within the Royal College of Speech and Language Therapists (RCSLT) framework.
